    CONFIDENTIALITY AND PERSONAL DATA PROTECTION POLICY

Failure to provide this information may delay or make it impossible to process your application. We endeavour to ensure that the personal data we hold is accurate at all times. We therefore encourage you to update your details should any changes occur. We may also ask you to update your data from time to time. We recommend that you only provide the data requested or necessary for your request, and that you do not provide us with sensitive data relating to race, ethnic origin, political opinions, religious or philosophical beliefs, and data concerning health, sex life or sexual orientation.

    3.2 Data collected indirectly We may collect data when you use our site, such as your IP address or other browsing data (including browser, operating system, device model), through cookies or similar technologies placed on your device. Some cookies are necessary for the proper functioning of our site and others are used for analysis purposes that help us provide you with more personalized services and a better digital experience. We may also collect data about you from third parties, such as a spouse who contacts us on your behalf or your friends who provide us with your contact details in order to invite you to events that may be of interest to you.     3.3 Minimum age We remind you that we do not collect, directly or indirectly, personal data from persons under the age of 16, without prejudice to any local law setting a different minimum age. We therefore ask you not to provide us with personal data of persons who do not meet this criterion. 4. Why do we collect your personal data and how do we use it? We collect and use your personal data on one or more of the following legal bases: - we have obtained your prior consent (for example when you subscribe to our newsletter).     • we need to process your personal data in order to comply with applicable laws and regulations. Depending on the context, we may use your personal data to:

    • carry out checks to identify you and verify your identity;

    • send you a newsletter (with your prior consent) or invitations to one of our events;

    • respond to your questions, requests and suggestions;

    • monitor and improve our Digital Platforms;

    • carry out statistical analyses;

    • provide information to regulatory bodies where required by law. 5. How long do we keep your personal data? Your personal data is processed for the period necessary for the purposes for which it was collected, to comply with legal and regulatory obligations and for the duration of any period necessary for the establishment, exercise or defense of legal claims. In order to determine the most appropriate retention periods for your personal data, we have specifically taken into account the amount, nature and sensitivity of your personal data, the purposes for which we collected your personal data, as well as applicable legal requirements.     • With regard to applicants to our grant programs or projects: your data is kept for one year from the date of collection and is then deleted;

    • Recipients of our newsletter: your data is kept for three years from the date of your last action, and is then deleted;

    • Recipients of bursaries: your data is kept for the maximum period during which the bursary is awarded and up to a maximum of five years, then deleted or archived in order to comply with legal retention obligations;

    • With regard to the cookies used: they are stored for up to thirteen months from the time they are installed on your device. 6. How do we disclose and transfer your personal data? We may only disclose your personal data to the parties named below and for the following purposes: - We disclose your personal information to those Yu.Ito employees who need to have access to your personal information and who are authorized to process it for the purposes described above and who agree to keep it confidential.

    • We may disclose your personal data to Yu.Ito, communications, internal audit and IT management for the purposes set out in our Privacy Policy with your consent, to send you promotional communications about events (for this purpose, you may revoke your consent at any time. See "What are your rights regarding your personal data" below).

    • We may also share personal data with third parties acting on behalf of Yu.ito and approved by YU.ito. For example, transport companies shipping your orders. All such processing is based on our prior instructions set forth in a binding contract that complies with the requirements of applicable law. These disclosures are made for a variety of purposes, including: o Development, IT support and the sending of emails; o The provision of digital forms to manage your applications to our programs or to manage press relations These third parties undertake to respect confidentiality and are not authorized to use your personal data for any other purpose.     7. How do we protect your personal data? All of your personal information is kept strictly confidential and will only be accessed on a need-to-know basis by Yu.ito personnel and independent service providers acting on our behalf under appropriate technical and organizational security measures. Yu.ito has implemented security measures to protect your personal information from unauthorized access and use. We follow appropriate security procedures in the storage and disclosure of your personal data to prevent unauthorized access by third parties and to prevent accidental loss of your data. We restrict access to your personal data to those who have a genuine business need to access it. Persons accessing your data are subject to a duty of confidentiality towards Yu.Ito. We also have procedures in place to deal with any suspected breach of data security. We will notify you and any relevant supervisory authority of any suspected data breach where we are required to do so by law. We also require those to whom we transmit your personal data to comply with the above. Unfortunately, the transmission of information via the Internet is not totally secure. We cannot therefore guarantee the security of your personal data transmitted to us via the Internet. Any such transmission is at your own risk and you acknowledge and agree that we will not be liable for any unauthorized use, distribution, damage or destruction of your data, except to the extent that we are required by law to assume such liability. Once we have received your personal data, we will apply the aforementioned security measures.

    8. What rights do you have in respect of your personal data? In accordance with applicable data protection law, you may at any time request access to, rectification of, erasure or portability of, or restrict or object to the processing of your personal data. Your right to object to processing: the right to object: - at any time during the processing of your personal data; - in certain other situations, to our further processing of your personal data, for example processing carried out on the basis of our legitimate interests. Where the processing of your personal data is based on your consent, you may at any time decide to withdraw your consent to the processing of your personal data, in particular if you no longer wish to receive the newsletter to which you have subscribed.
